Position Details

The Village of Oak Brook Police Department is seeking a qualified Administrative Coordinator to provide administrative and confidential support to department leadership.

This full-time, non-union role supports daily operations and requires strong organizational, communication, and customer service skills.

Essential Duties:

• Provide administrative support including preparing and editing correspondence, reports, and departmental materials.
• Screen calls, visitors, and inquiries; route complex issues appropriately.
• Handle confidential personnel information and assist with HR and Board-related documentation.
• Support preparation of statistical reports, department communications, and mail processing.
• Assist with budget entry, purchasing, and invoice processing.
• Schedule meetings, seminars, and travel arrangements for leadership.
• Maintain personnel files, payroll-support records, and departmental databases.
• Assist with special projects and coordinate with IT on technical issues. 

Minimum Qualifications:

• High school diploma required; coursework in management, finance, or accounting preferred.
• Minimum three years of clerical, records, or public-contact experience.
• Municipal/government experience required (municipal preferred).
• Experience with law enforcement databases or municipal accounting systems preferred. 

Key Competencies:

• Strong communication and customer service skills.
• Ability to manage multiple priorities with accuracy and discretion.
• Proficiency with office equipment and data entry. 

Work Environment:

• Work is performed in an office environment with generally safe working conditions and occasional light physical activity.
