As the Administrative Assistant on the Lake Forest's Fire team, you will be responsible for supporting the department in projects, planning, and new initiatives. Be a strategic partner to other City Departments: Police, Public Works, Parks & Rec, Communications, HR, Community Development, Finance, IT, and City Hall.

The administrative role supports the day-to-day operations, with responsibilities such as:
- Supporting Fire Department operations including recruitment, benefits, policy, and helping employees reach their full potential
- Provides responsive, courteous, and efficient service to the residents and the public
- Maintaining files, reporting, social media, & administrative support activities
- Oversee quality control of ambulance billing entries for third party processing
- Provides support to the Fire Rescue Department Public Education Program
- Processes Freedom of Information Requests for department records and release information in accordance with FOIA guidelines and department policies
- Complete weekly invoicing and PO processing within our Accounts Payable system (BS&A)
- Act as a liaison between the Fire department and other City departments, specifically with collaborating with HR on onboarding, benefits administration, and performance evaluations for Fire personnel
Qualifications:
- 2+ years in general administrative and office support, required Prior experience with purchasing, accounts payable, or fire department processes, preferred
- Possess strong technological skills, especially with Microsoft Office
- Have outstanding collaboration/interpersonal skills to build trusted relationships at all levels
- Enjoys problem solving and welcomes challenges
- Possess strong organizational skills, patience, and keen communication skills
- Maintain a positive, "can-do" attitude and takes initiative
- Excellent customer service skills, including the ability to deal tactfully with the public
- Maintain a high level of integrity in dealing with confidential and sensitive information is essential
