Job Description & Duties:
Village of Glenview seeks a full-time Customer Service Representative to work in the Village of Glenview Management Services Department.
The purpose of this position is to provide above and beyond customer service and to perform various administrative functions for the Village. This is accomplished by serving the customers at the front desk or via telephone at the Village Hall and Police Records by answering general Village related questions, educating customers on Village programs, resolving issues, applying various payments, and handling non-emergency Police and Fire calls in Police Records.
Specific tasks completed for Village Hall may include:
- Entering service requests for Public Works, Inspectional Services and Utility Billing, invoice processing, distributing internal mail, processing the daily bank deposit and balancing daily cash drawer, scanning or copying documents, data entry, and completing a variety of general clerical tasks as assigned.
- Additional tasks involving Utility Billing are responding to customer questions, performing research, and analyzing account data to provide a resolution to customer issues.
Specific tasks completed for Police Records division may include:
- Processing local ordinance and traffic violations, subpoenas, arrests, accident reports, local background checks, issuing temporary handicap parking placards, assisting with document destruction per State of Illinois regulated mandates, assist with administrative adjudication, FOIAs including audio and video redaction, and additional Police Records tasks as assigned.
This position reports directly to the Customer Service Manager.
Qualifications:
- Qualified candidates should have graduated high school, plus one to three years of related work experience, working in customer service is required.
- Ideal candidate will possess a solid working knowledge of MS Office and web-based computer software programs.
- The ideal candidate is energetic and dedicated to ensuring customer concerns are resolved in a professional and timely manner.
- The position also requires strong organizational skills, solid typing skills, good judgment, confidentiality, and the ability to multi-task under time constraints.
- The successful candidate will have excellent written and verbal communication skills, and the ability to respond and interact with the public in a courteous and professional manner is an absolute must.
- Prior experience with New World Records Management System (or other police computer systems) is preferred and Munis financial software experience is a plus.
- The individual selected for this position will be required to become LEADS Certified within 30 days of hire date through a program managed by the Village.
- The ideal candidate must be flexible and be able to adapt to constant shifting of priorities.
Schedule/Work location:
This position works at the Village Hall and Police Department located at 2500 East Lake Avenue and typically works the hours the Village Hall is open: Monday-Friday, 8:30 a.m. - 4:30 p.m., for a total of 40 hours per week. Any additional time worked would be based on operational needs.
