The Village of Glenview seeks a full-time Records Clerk to work in the Police Records Division. The purpose of this position is to perform administrative and customer service functions. This is accomplished by compiling, updating and maintaining accurate records of Police Department files and providing quality customer service for internal and public customers.
Duties include, but are not limited to, processing arrest paperwork, entering tickets and court transmittals, processing commuter parking permit applications and payments, processing subpoenas and expungements, supporting Freedom of Information Act (FOIA) requests, completing local background checks, processing tickets and various payments. This position also answers the non-emergency Police and Fire telephone calls, greets and assists walk-in visitors to the Police Department, provides problem-solving for customer concerns, educates customers on Village programs, policies or ordinances, maintains internal files, manuals and original documents, copies or scans documents, and interacts with other agencies to obtain or to provide information.
Other duties include administrative support and backup to the Records Coordinator, completing a variety of general tasks and projects as assigned. Such project may include assisting with the reconciliation and processing of the daily bank deposit, review of merge errors that occurred within the records management software and correct as needed, assisting with the Administrative Adjudication process, assisting in the monthly entry of the Uniform Crime Reporting to the State, as well as monthly entry of the demographic profiling stats to IDOT, and assisting with the collection of telephone volume reports. This position reports directly to the Records Supervisor.
This position typically works during the hours the Village Hall is open; Monday-Friday, 8 a.m.-5 p.m., based on operational needs, for a total of 40 hours per week. As well as call back to provide support during Village emergencies, including evenings and weekends.
